Dear Valued GSA Fleet Customer,
We hope this message finds you healthy and safe. We offer our gratitude to those agencies that are on the front lines battling this unprecedented pandemic. Our mission is to continue supporting you during the COVID-19 outbreak, while keeping our employees, customers, and communities safe.
GSA Fleet is operational and actively addressing your needs as we continue to work from home. On March 26, we provided you with our operational processes during the COVID-19 pandemic, and continue to operate under those conditions. In addition, during April we are turning off the estimation of mileage on your leased vehicles. If a vehicle has no reported mileage, GSA Fleet will assume no miles were driven for the month, rather than estimating miles based on prior month’s usage. This ensures the GSA Fleet bill reflects actual usage for vehicles that are not being used. It is critical that agencies that continue to operate vehicles update mileage at the pump or through the Mileage Express module. Failure to do so will result in a large bill once actual mileage is corrected.
GSA Fleet developed some fleet driver tips for proper care of your vehicle that are intended to minimize the spread of the virus. Disinfecting your vehicle is important and must be performed for each new driver by cleaning all frequently touched surfaces. Please review the GSA Fleet Vehicle Cleaning & Disinfecting Guidance to learn more about how to properly clean your fleet vehicles.
After a vehicle collision, where neither party is injured, social distancing behaviors should also be preserved. To adhere to the CDC’s recommendation of maintaining at least six feet apart from each other, GSA Fleet developed a modified process of exchanging information after a vehicle accident. Please review the GSA Fleet Vehicle Accidents Procedures under COVID-19.
Finally, it is important that additional steps are taken prior to storing your vehicle for an extended period of time. Please review the GSA Fleet Vehicle Storage Guidance. We understand that you may have restricted access to your vehicle preventing you from completing these steps. The information is for vehicles still being used that may be stored later.
If your agency is supporting the COVID-19 response efforts and needs additional vehicles, please contact our Short-Term Rental (STR) Program at gsa_rental@gsa.gov. STR provides streamlined vehicle and equipment rental assistance. When placing your STR order, please identify if it is in support of COVID-19.
Please stay positive, stay healthy, and do not hesitate to reach out to your local GSA Fleet Service Representative if you have any questions or concerns.
Thank you,
William A. Toth, Jr.
